Steps 2 & 3 of the Blitz Process: The List & The Heads-Up

Contact List Worksheet

Build your list BEFORE Blitz Night — this is the foundation of a successful campaign.

Print this page and have your student fill it out with your help.

The rule the best programs enforce: No list, no Blitz Night. POP Band makes the list the price of admission to Blitz Night — 85% participation at 440 students followed.

25+

Why 25 contacts?

Students who enter 25+ contacts raise significantly more than those who don't. The math is simple: more people who know about it = more donations. Most families are surprised how quickly they get to 25 once they sit down and brainstorm together.

PROVEN IN THE FIELD

This is the step that predicts the outcome. Leander had 96% of students complete their contact lists — and raised $157,124. POP Band makes it the price of admission to their Blitz Night party — 85% participation at 440 students.

2a

Brainstorm Your Network

Sit down as a family and go through each category. Start with cell phone numbers — your student will call and text these contacts, and phone outreach gets the best response rates.

Tip: Don't have their phone number? Use an email address! This is a great way to expand your list — especially for parents' coworkers where you may only have a work email.

Family

Grandparents (both sides), aunts & uncles, adult cousins, great-aunts & great-uncles, family friends who feel like family

Parents' Connections

Coworkers, college friends, high school friends, workout buddies / sports league, book club / hobby group

Community

Neighbors (current & former), church / religious community, former teachers or coaches, friends' parents, local business owners

Anyone Who's Seen You Perform

Concert / game attendees, people who watched videos online, people who've complimented your playing

2b

Identify Company Matching

Many employers will match charitable donations — doubling the gift!

As you build your list, mark anyone whose company might match:

  • Large corporations often have matching programs
  • Tech companies, banks, and oil companies commonly match
  • Ask: "Does your company match charitable donations?"

Write It Down, Then Enter Into BackStage

Print this page to get a blank contact worksheet, fill it out as a family, then enter contacts into BackStage before Blitz Night.

When you print this page, a blank 25-row contact table will appear that your student can fill in by hand and turn in to their director.

  1. 1 Print this worksheet — the printed version includes a blank table with 25 rows
  2. 2 Fill it out as a family — write down names, phone numbers, and whether the contact's company might match
  3. 3 Enter contacts into BackStage — cell phone numbers are best since calls get much better response rates
3

The Heads-Up: Pre-Notify Your Contacts

Parents should reach out to contacts BEFORE Blitz Night. This dramatically increases response rates.

This is the #1 thing parents can do to help

Sample message:

"Hey! [Student] will be reaching out on [Day] about their band fundraiser. The money goes directly to reducing family fees and improving the program. Just wanted to give you a heads up — thanks for considering it!"
